Pathfinder PTSA Board Positions and Responsibilities

  • Board position term lasts from July 1 through June 30th.

  • Board Nominees will be voted on/approved at the last PTSA General Membership Meeting of the school year.

  • Board members must have an active PTSA membership.

  • Expectations for All PTSA Board Members:

    • Attend monthly PTSA Board Meetings, not missing more than two monthly meetings.

    • Attend all three quarterly General Membership Meetings.

    • Participate in events throughout the year.

    • Volunteer for at least two events per year.

    • Recruit for the next year’s Board positions.

  • The President is the presiding officer and official spokesperson of the Pathfinder PTSA. The President presides at all meetings and plans the meeting agenda with the PTSA Secretary, utilizing input from others. The President must remain impartial when serving as the presiding officer at meetings. 

    According to the Pathfinder PTSA Standing Rules, the President must be elected by the general Pathfinder PTSA membership. The President leads the Executive Committee and the PTSA Board of Directors.

    Responsibilities

    • With the approval of the Executive Committee, the President makes one-year appointments to positions and committees as specified in the PTSA Standing Rules.

    • Develops annual calendar of meetings, special events and activities, and oversees the implementation.

    • Delegates responsibility and cultivates leaders by empowering others and acknowledging their efforts. 

    • Leads three types of PTSA meetings: executive board, board meetings, and general PTSA meetings (at least three are required) for the community. Sets agendas, advertises meetings, reports on issues, moderates discussions.

    • Meets on a regular schedule with the school principal, to facilitate a working relationship between the school and the PTSA.

    • Ensures all current PTSA board members are also members of the Pathfinder PTSA in good standing.

    • Communicates regularly with the school community, via newsletter columns (Compass, HotSheet), website blogs, social media, posters, etc.

    • Ensures that board members( particularly treasurer) are aware of all required deadlines for the payment of membership dues, taxes/audit, filing of annual corporation report, charitable solicitations registration, and insurance renewal.

    • Serves as a signer on PTSA checks (each check requires two signatures). This requires bank approval.

    • Establish a process to have the monthly bank statement reviewed, dated and signed by a board member who is familiar with the operation of the PTSA but who is not a signatory on the account.

    • With the assistance of the executive committee, makes amendments to the PTSA Standing Rules and brings it to a vote at the September board meeting and general meeting.

    • Attend Washington State PTA’s PTA and the Law class.

    • Handles unexpected issues that may arise.

  • The Secretary shall take minutes and record business at each meeting of the Pathfinder PTSA, including meetings of the general membership, the board of directors and the executive committee, and post minutes for all board members to access.  The Secretary also works with the Treasurer(s) and President to ensure that all legal documents are in order.

    Responsibilities

    • Take minutes at quarterly PTSA general meetings, monthly PTSA board meetings, and of Executive Committee business. Post minutes in the shared PTSA Drive.

    • Prepare the minutes for review at the next meeting.

    • Take attendance at meetings to determine if a quorum is present (50% plus one of board members in good standing). 

    • At the end of the fiscal year (June 30), ensure all copies of the legal documents notebooks and permanent record files are in order and ready to transfer to new officers.

    • Attend a WSPTA secretary’s workshop to learn in greater detail how to perform this job. 

    • Collaborate with the Membership Chair, making sure that the chair is aware of opportunities for PTSA membership outreach and is recording PTSA members in the member database.

    • Maintain the PTSA bulletin board in the school hallway by posting meeting minutes, rosters of committees and board, and other PTSA-related information. 

    • Serve as a member of the Pathfinder PTSA Executive Committee and attend monthly meetings. 

    • Attend monthly PTSA board meetings and general membership meetings and report on issues as needed.

  • Job Description

    The Outdoor and Garden Programs Co-Chairs (OGPC) is a role designed for two individuals to share the responsibilities of coordinating programs and events at the school focused on the earth and connecting with the outdoors. The OGPCs will work closely with the Pathfinder Garden Coordinator, the PTSA President, and school administrators to plan and lead programs. The OGPCs are a non-elected position, appointed by the Pathfinder PTSA Executive Committee, with voting rights on the Pathfinder PTSA Board of Directors. 

    Responsibilities

    • In conjunction with the Pathfinder PTSA Executive Committee and Garden Coordinator to develop an annual calendar of outdoor focused events and activities.

    • Recruit volunteers to plan and execute events. 

    • Look for new and innovative ways to improve Earth conservation efforts at Pathfinder.

    • Partner with the Garden Coordinator on how the PTSA can best support their program.

    • Identify and help procure possible funding sources to support special projects - grants, community partnerships, etc.

    • Partner with the Communications Chair to ensure information is shared via the Pathfinder PTSA website, school Newsletter, Social Media, or other means about Outdoor and Garden Program needs and accomplishments. 

    • Attend monthly board meetings, representing and reporting on the Outdoor and Garden Programs year-round. 

    • Must have an active PTSA Membership
