URGENT CALL FOR COMMITTEE MEMBERS

Committee members are urgently needed to help with the planning of our in-person Spring fundraiser. We will be holding a zoom meeting every three weeks starting in February. Please sign up via https://www.signupgenius.com/go/5080F4BACA929A4FB6-pathfinder

We cannot put on a successful, FUN in person event of this scale without PARTICIPATION from our school’s parent community. This is a great opportunity to get involved and meet other parents while having a great time! Email Rachel and Tasmyn at fundraising@pathfinderk8ptsa.org with any questions!

AUCTION PROCUREMENT

  • We are focusing on larger combination packages and local businesses
  • We have a list of donors to be contacted and welcome ideas for other items. 
  • All items will be sold via silent auction this year. 
  • Procurement letter drafted
  • We are asking PTSA Board members to send out 5-10 requests each and be in charge of follow up and picking up items as needed
  • We are looking for:
    • TRIPS/EXPERIENCES – timeshares, airline tickets, UBER rides to local experiences, hotel stays, sporting events tickets, restaurant gift cards, personally owned cabins/vacation homes
    • LOCAL BUSINESSES – packages (ie a salon donates a service AND product) 
    • ART – artwork, art classes, pottery, commissioned painting or photography package
    • OTHER EXPERIENCES – Meet and green with a celebrity, exhibition match, private behind the scenes tour activity, concert tickets, movie theatre rental, birthday party packages, fine dining, private chef dinner
    • SIGNED MEMORABILIA – signed instruments, CDs, t shirts, sports memorabilia etc

WEB/TECH SUPPORT 

  • Assist with entering all items into auction software pre-event and take a shift on the night to ensure items are logged correctly and auction numbers assigned to attendees. 
  • Assistance with tax acknowledgments for donors, sponsors and attendees

LOGISTICS NEEDS  

  • We need a band to play during the dinner/auction and DJ for after. DJ will also co-host as MC with a school personality. 
  • A/V rentals (if not covered by band/DJ)
  • Possible Auctioneer (Stokes used in the past)
  • Décor and crafting assistance – help decorate the venue on the night and create the décor in advance. Assist with tear down at the end of the event. 
  • Alcohol – manage the purchase of alcohol for the bar
  • Slide Show production to play during the event showing what PTSA funds are used for
  • Someone to provide equipment for and manage a photo booth (including backdrop)

CLASS ART PROJECT MANAGERS  

  • Manage your class art project. All will be rainbow themed and need to be created on a ready to hang canvas or be properly framed. Art material expenses will be covered as needed. These will be auctioned at the fundraiser. 

TABLE CAPTAINS

  • Pathfinder Community Leaders to purchase tables and organize their guests for ticket sales (sliding scale – larger tickets will include a direct donation to the PTSA)

BABYSITTING

  • Per request of Dr Holmes, we would like to offer babysitting services on the night, most likely at Pathfinder. We need someone to lead the effort of getting interested 8th graders CPR/Babysitter certified and managing this separate location and event. 

DAY OF EVENT ASSISTANCE

  • We will need many hands on the night to ensure that everyone has a chance to enjoy the event themselves.
